Hoperflow is committed to protecting your privacy. This Privacy Policy describes how we collect, use, and process personal data when you use our short-term rental management platform, WhatsApp AI concierge integrations, and other associated services.
2. Information We Collect
We collect information that you provide to us directly, as well as data generated automatically during your use of the platform:
- Host Account Information: Name, email address, phone number, company registration details (VAT and address), and authentication credentials.
- Property Data: Property names, addresses, check-in/check-out instructions, and custom Q&As.
- Guest Data: Phone numbers, names, booking dates, check-in status, and full chat message logs (including transcribed voice notes and uploaded documents).
3. How We Process Your Data
Hoperflow processes guest messages and host properties to feed our Retrieval-Augmented Generation (RAG) models. This enables the automated WhatsApp concierge to answer guest questions in real-time. Textual data is converted to vector embeddings using high-security LLM endpoints. We never sell your personal data or use your chats for training third-party public AI models.
4. Data Retention & Right to Erasure
We retain personal data only as long as necessary to provide our services. Hoperflow complies with the General Data Protection Regulation (GDPR). Users can request complete erasure of their accounts and data at any time. When an account or booking is deleted, all associated chat logs, phone numbers, guest voice notes, and media attachments are permanently purged from our database and storage volumes.
5. Third-Party Services
We utilize trusted subprocessors to deliver the platform, including Stripe (payment processing), Meta (WhatsApp Cloud API), and OpenRouter (for AI model hosting and vector embedding generation). All data transfers comply with standard contractual clauses (SCCs) and security protocols.
